Terms and Conditions - 2024

1. Acceptance of Conditions

1.1 On buying a ticket to take part in the Tom Simpson Retro Cycling Festival 2024 the purchaser becomes a Participant in said ride and Cycling Festival, and is deemed to have accepted the following conditions upon completion of ticket purchase.

1.2 All tickets are sold subject to these conditions. Please read these conditions carefully prior to purchase and raise any queries by contacting the organiser. Purchase of any ticket constitutes acceptance of these conditions on your behalf and on behalf of any person for whom you are purchasing tickets.

1.3 Organisation of the Tom Simpson Retro Cycling Festival 2024 is a shared undertaking between the Simpson Cycling Club and Cycling Legends Events (henceforth referred to as ‘the Organiser’). Contact: This email address is being protected from spambots. You need JavaScript enabled to view it.

1.4 Event HQ is Harworth and Bircotes Town Hall, Scrooby Road, Harworth, and is referred to below as the ‘Event HQ’.

2. Participation

2.1 The Participant is aware of the nature of the Tom Simpson Retro Cycling Festival 2024 (referred to hereafter as the Ride) and the associated risks involved and agrees that he/she is physically capable of participating in the Ride and is to be solely responsible for his/her actions, and the organiser, its officers, agents, affiliates, associated companies, sponsors or medical advisers are not responsible for any injury or illness that the Participant may suffer as a result of his/her participation in the Ride. The Participant accepts that should any medical or physical condition arise prior to the Ride which is likely to affect his/her ability to participate, the Participant will withdraw from the Ride in accordance with these conditions.

2.2 The Participant agrees to abide by all applicable traffic rules and regulations including any rules and any relevant regulations as published by the organiser (See Appendix 1 below). The Participant shall not be entitled to a refund of the entrance fee if he or she is disqualified from the Ride as a result of an infringement of these Conditions and/or Rules.

2.3 The Participant must complete the ticket purchasing registration process online via the event website (www.tomsimpsonmemorialfund.co.uk).

2.4 It is the Participant’s sole responsibility to read and abide by the Ride Rules, as laid out in Appendix 1 to these Terms and Conditions

2.5 It shall be the Participant’s sole responsibility to provide safety equipment and/or personal protective clothing which shall be in a good condition in order to comply with the rules. Participants must take particular note of the regulations relating to helmets as laid out in the rules.

2.6 The Organiser reserves the right at any time to remove Participants from the Ride or prevent Participants participating in the Ride if it considers such action necessary for safety reasons or to ensure the proper enjoyment of the Ride by other Participants or for any other reasonable reason. No refund of the Ride entry fee shall be made if the Participant has acted negligently, maliciously, with wilful misconduct or otherwise without due care and attention for the Ride or other Participants so as to cause his or her removal.

2.7 The Organiser reserves the right to disqualify anyone who breaches these Terms and Conditions, or any of the Ride Rules in Appendix 1, from the Ride.

2.8 While the Organiser takes every care with the staging of the Ride, the Participant acknowledges that personal accident and personal items insurance is his or her sole responsibility.

2.9 All decisions and rulings by the Organiser and its agents are considered final. The Participant will comply with all Ride Rules and all instructions and guidelines given by stewards, marshals, and safety personnel. The Participant acknowledges and agrees that the Organiser will organise and run the Ride and will have sole authority and be the final arbiter on all decisions relating to the safety, running and organisation of the Ride.

2.10 The Participant acknowledges and accepts that circumstances concerning the Ride may change from time to time for reasons beyond the Organiser’s reasonable control or otherwise, without the Organiser incurring any liability and without any rights to withdrawal being accrued by the Participant. The Organiser shall use reasonable means to communicate any changes to the Participant as soon as reasonably practicable.

2.11 When riding, if Participants need to use a mobile phone during the event they must dismount from their bicycle. The Organiser will not be liable for any incidents that may occur due to mobile use whilst the Participant is riding.

2.12 Use of headphones during the Sunday August 19th Retro Ride is not permitted at any time.

2.13 By entering the Ride all Participants confirm that they have read, understood and will adhere to the Ride Rules pertaining to the type, age, characteristics and safety of their cycles (See Appendix 1 below).

3. Bookings & Payments

3.1 The Participant must pay an entry fee when they enter the event using the online Booking system before the Event. The closing date for all payments is Monday, August 12th 2024. No entries will be accepted by the online booking system after the closing date.

3.2 Participants shall notify the Organiser of contact details including their emergency contact details in the Booking system. Participants shall make any subsequent amendments to their emergency contact details via their online account.

3.3 Verbal descriptions and telephone conversations are subject to interpretation and cannot be proven or confirmed. We accept no liability for this. Website bookings can be subject to technical error. Therefore all telephone and website bookings and quotes are subject to our written confirmation and this is why it is important that you check your booking confirmation as soon as you receive it via email. Errors in costings are very rare. However, if there is an obvious error on your booking confirmation we reserve the right to correct this as soon as we are aware of it.

3.4 Tickets will be by electronic download via an online customer portal, accessible via the Booking system.

3.5 The Simpson Cycling Club, Cycling Legends Events or the Tom Simpson Memorial Fund do not have access to payment card details.

4. Entry to / Attending the Event

4.1 The Organiser accepts no responsibility for your personal property. Lost & Found is located at the information point within the Event HQ.

5. Limitation of Liability

5.1 The Organiser shall under no circumstances whatsoever be liable to the Participant whether in contract, tort (including negligence), breach of statutory duty, or otherwise, for any loss of profit, or any indirect or consequential loss arising under or in connection with the Event.

5.2 The Organiser shall not be liable for any actions of any spectators or other third parties.

6. Ride Status

6.1 The Tom Simpson Retro Cycling Festival 2024 is a recreational cycling event, it is not being timed and the Organiser will not be providing a finish time, or time taken to complete any part of the ride routes, for any Participant.

7. Publicity

7.1 The Participant consents to the Organiser taking photographs or video footage at the Event. Photographs and video footage will be used by the Organiser for promotional purposes and may include printed documents or media, editorial coverage, advertising press and use on the internet. Participants who do not wish for their images to be used in such ways must inform the Organiser prior to the Event, in writing via e-mail to This email address is being protected from spambots. 8. General

8.1 All Participant information shall be processed in accordance with the latest GDPR guidelines.

8.2 These Conditions (and the documents referred to in them) constitute the entire agreement and understanding of the Participant and the Organiser and supersede any previous agreement between those parties relating to the Event.

8.3 Nothing in these Conditions shall constitute or be deemed to constitute a partnership between the Parties hereto or constitute or be deemed to constitute either Party as agent of the other for any purpose whatsoever and neither Party shall have authority or power to bind the other or to contract in the name of the other in any way or for any purpose.

8.4 No waiver by either Party of a breach or a default hereunder shall be effective unless in writing and signed by both Parties and any such waiver shall not be deemed to be a waiver of any subsequent breach or default of the same or similar nature.

8.5 To the extent permitted by law all provisions of these Conditions shall be severable and no provision shall be affected by the invalidity or unenforceability of any other provision.

8.6 The Organiser reserves the right to amend these Conditions.

8.7 These Conditions shall be interpreted in accordance with the laws of England and Wales and any dispute arising hereunder shall be subject to the exclusive jurisdiction of the English Courts.

8.8 The Organiser shall not be liable for any failure to comply with its obligations where the failure is caused by something outside its reasonable control. Such circumstances shall include, but not be limited to, weather conditions, fire, flood, hurricane, strike, industrial dispute, war, hostilities, political unrest, riots, civil commotion, inevitable accidents, supervening legislation or any other circumstances amounting to force majeure.


Appendix 1 Cycle and clothing Rules of the Tom Simpson Retro Cycling Festival 2024

1 Cycles

1.1 The Tom Simpson Retro Cycling Festival 2024 is a retro bike event limited to cycles and their parts that were manufactured before 1995. This was decided as the cut-off point because the last time the Tour de France was won on a steel bike was in 1994.

1.2 Bikes fitted with derailleur gears can have down-tube, bar-end or combined brake/gear shift levers.

1.3 Every cycle ridden in the Tom Simpson Retro Ride 2024 must be in good, safe, roadworthy condition and comply with all UK road traffic laws pertaining to cycles. It is the sole responsibility of the Participant to comply with this rule.

1.4 Clipless pedals are allowed

2 Clothing

2.1 Participants are advised to wear a helmet of internationally recognised safety standard while riding any part of the Tom Simpson Retro Ride 2024's route. However, wearing such a helmet in such circumstances is entirely the participant’s individual choice, and by entering and receiving a Ticket for the Tom Simpson Retro Cycling Festival 2024 the Participant accepts that and accepts individually any consequence of their choice.

2.2 Ideally jerseys should be either genuinely pre-1995, or if manufactured after that date are copies of pre-1995 cycling jerseys, but it is up to individuals what they wear.

3 Ride conduct

3.1 Entry to the Tom Simpson Retro Ride 2024 is limited to 500 Participants.

3.2 Participants start from 10am in groups of 40 maximum, with a five minute gap between each group.

3.3 Participants must obey the rules of the road as laid out for cyclists in the Highway Code, as well as UK road traffic law and any lawful instructions given by the organiser or its agents.

4. Best in Show Competition

4.1 There are three show categories; Best in show bike and individual, Best in Show team and Best in show Trike.

4.2 Judging will take place before after and during the Retro Ride, and takes into account a contestant’s bike and clothing.

4.3 Entry for the best in show competition is included in the Tom Simpson Retro Cycling Festival 2024 entry fee.

4.4 There will be a new trophy in 2024 awarded for the best original bike, so best unrestored retro bike in the show.

4.5 Best in Show trike is for the tricycle judged as the best looking one.

4.6 The views of the judges are theirs alone, and only the judges’ views and opinions count in deciding who wins each Best in Show category. The competition is run in the spirit of the whole Tom Simpson Retro Ride and Cycling Festival, simply for the joy of being part of something and sharing with like-minded people.

4.7 The are lots of prizes, so if you don’t come first you will still get a worthwhile memento of being part of the competition.
